The My Events page includes all the events that you have hosted and that you need to host. Only events corresponding to the type of workshop selected in Workshops or Training are displayed: Decarbonized Horizons or the Planetary Boundaries Fresco. They are grouped into 3 categories, to be hosted: Events that you are going to host, to be closed: Events that you must close and to be closed: Closed events.

It is possible to modify the host of an event after creating it. For example if you are ultimately no longer available to animate, and you have agreed with another animator to take over the animation.
To do this, go to the platform, log in, go to your event and click on “edit my event”
It is possible to add a co-host when creating an event and also to add one once the event has been created (before it closes).
To do this, go to the platform, log in, go to your event and click on “edit my event”.
It is possible to add a participant once the event has been created (before it closes).
To do this, go to the platform, log in, go to your event and click on “add participants”
Then, you will need to indicate your email address and your first and last name and then submit.
It is possible to unregister a participant from an event.
To do this, go to the platform, log in, go to your event and click on the person in the list of participants.
Then you will need to validate.
Then choose whether or not to reimburse. If cancellation is requested less than 72 hours before the event, it is not refundable.
If you did not fill in certain fields when creating the workshop (videoconference and wall links), you will receive an email 2 days before the workshop which will remind you to fill them out. To do this, you must click on the Fill in the necessary links button and then fill them in.
THE participant.es will receive an informative reminder email the day before the workshop. You will receive a copy of this email.
As long as there is no participants, you can cancel the workshop.
You can also send an email to participants whenever you want to provide details or warn of a possible last minute change.
When you create a private event, it is only accessible to people with the link. To get the link:
Go to the “Workshops” or “Training” tab depending on the type of event you are hosting
Click on the workshop you have just created in the “My workshops” or “My training” list/calendar
Copy URL address
Share it with the people concerned so that they can register
Attention ! The link copied from the “My events is not accessible to people who do not have an account” tab, do not transmit this link!
It is possible to cancel an event on the platform if:
you have an impediment and can no longer cancel
there are not enough participants (less than four)
If you are unable to do so, start by calling on the community on Discord to try to find a replacement.
In the event of a lack of participants, you must cancel the workshop at least the day before.
To cancel, use the “cancel this workshop” button
You can then personalize the cancellation message to participants to explain the reasons for canceling the workshop.
Following this, participants will be refunded, and will have to re-register to participate in a new workshop.
Once the event has passed, you must close it so that the participants can receive the post-event email. To do this, you must uncheck the box “followed the event” of the participants not having attended the event then click on the button “Close the event”
/!\ Closing the event automatically sends the post-workshop email, so you must have modified it before if you wish (in modify my event).
If you have not created your event on the platform before hosting it, you can create it subsequently, indicating the date on which the event took place.
To do this, create the event with its date (in the past). It must be free.
3 options :
you have the email addresses of the participants and want to send them the post-workshop email —> you can add them, modify the post-workshop email and close the event, which will automatically send the post-workshop email.
you have the email addresses of the participants and do not wish to send them the post-workshop email because you have already done so elsewhere —> define the maximum number of participants in the workshop as the number of participants ·s real events that took place at the workshop. It is this number which will be taken into account in the counter. Do not enter email addresses, and close the workshop.
You do not have the emails of the participants —> define the maximum number of participants in the workshop as the number of actual participants there were at the workshop. It is this number which will be taken into account in the counter.
